Privacy Policy

The short version

  • We collect what's needed to run HailMe: your email, your profile, and the requests and chats you send and receive.
  • When someone sends you a request, you never see their email address, and they never see yours.
  • Our emails never include what anyone wrote in a chat.
  • We don't sell your data, show ads, or use tracking cookies, and we don't use your messages to train AI.
  • You can change your details, disconnect AI assistants or delete your account at any time in Settings.

1. Who we are

HailMe is run by the HailMe team (“we”, “us”). This policy explains what personal information we handle when you use HailMe, whether you have an account or just send a request from someone's page.

2. What we collect

  • Your account. Your email address (you sign in with a code sent to it), and what you add to your profile: name, headline, photo, your link, the kind of person you are (founder, investor and so on) and your time zone.
  • Your page. The intents you accept, the questions you ask and your auto-replies.
  • Requests you send. Your name, your email address and your answers. If you send without an account, we also record your IP address to limit abuse, and send you a one-time code to confirm your email (we store only a scrambled version of the code).
  • Requests you receive, and what you decide: shortlisted, accepted, declined or archived, plus any note you add when declining.
  • Messages to us. If you use the contact form, your name, email address, topic and message, your IP address (to limit abuse) and, if you're signed in, which account sent it. We use them only to reply to you.
  • Chats. The messages you and the other person write, when each of you last read the chat, and how you've organised your chats (pinned, important, snoozed, archived). That organisation is only visible to you.
  • Verification. If you apply for the blue tick, the photo ID you upload and, optionally, a link that shows your role. See how long we keep it.
  • Safety. People you block, reports you make or that are made about you, and, only if the person reporting chooses to share it, a copy of up to the latest 50 messages of the chat being reported.
  • AI assistants. If you connect one (like Claude), which assistant, what you allowed it to do, and a log of what it did (which tool, which request or chat, and when).
  • Technical information. The cookie that keeps you signed in (see our Cookie Policy), and the IP address and browser details that our hosting providers log to keep the service running and secure.

3. How we use it

  • To run HailMe: showing your page, delivering requests, opening chats and showing who's verified.
  • To email you: sign-in codes, your request being accepted or declined, a link to a chat, reminders (a daily summary when something new is waiting, which you can turn off, and one reminder if a message waits while you haven't joined a chat), and notices about your account or verification. Emails never include the text of chat messages.
  • To keep HailMe safe: rate limits, a bot check on the request form, blocks, reviewing reports, and suspending accounts that break our Terms.
  • To verify people who ask for the blue tick.
  • To do what the law requires.

We don't sell your information, show advertising, build marketing profiles, or use your requests or messages to train AI models. Where the law asks for a legal basis, we rely on providing the service you asked for, our legitimate interest in keeping HailMe secure and free of abuse, your consent (for example to verification and to connecting AI assistants, which you can withdraw), and legal obligations.

4. Who can see what

  • Anyone can see your public page: your name, headline, photo, link, blue tick, and the intents and questions you accept. We ask search engines not to list it. If you have the blue tick, you can choose to show it in search results in Settings.
  • People you send a request to see your name, your answers, and your photo and tick if you have an account. They never see your email address.
  • A chat is visible only to the two people in it.
  • HailMe's review team sees what's needed to handle reports, verification and account issues: reports and anything shared with them, ID documents while an application is pending, and account details.
  • AI assistants you connect see what you allowed them to: your requests, and your chats if you ticked that. What the assistant's provider does with that information is covered by their own terms and privacy policy.

5. Service providers

We use a small number of companies to run HailMe. They process information for us and only as we instruct:

  • Supabase: database, sign-in and file storage (photos and verification documents). Stored in Singapore.
  • Resend: sends our emails.
  • Cloudflare Turnstile: the bot check on the request and contact forms.
  • Inngest: runs scheduled jobs such as reminders. It receives internal IDs, not your messages.
  • Our hosting provider, which runs the website.

Some of these companies may process information outside the country you live in. Where that happens, we rely on the safeguards the law requires, such as standard contractual clauses.

6. How long we keep it

  • Your account is kept while you use HailMe.
  • When you delete your account, your page goes offline straight away, your chats close, waiting requests you sent are withdrawn, you're signed out everywhere, and your photo and any pending ID documents are deleted. We currently keep the rest of your account information so it can be restored if you change your mind. If you'd like it erased permanently, email hello@hailme.at.
  • ID documents are deleted as soon as we decide on your application, or after 30 days if it's still pending. We keep only the outcome.
  • Sign-in and request codes expire after 10 minutes. Records of requests that were never confirmed, including the IP address, are deleted after 30 days.
  • Messages to us through the contact form are deleted a year after we've dealt with them.
  • Reports and our moderation records are kept for as long as they're needed to keep HailMe safe and to handle appeals.
  • AI assistant access expires on its own (access for an hour at a time, renewable for 30 days) and stops immediately when you disconnect.

7. Your choices and rights

In Settings you can change your profile, turn off the daily summary, block people, disconnect AI assistants and delete your account. Depending on where you live, you may also have the right to ask for a copy of your information, to correct or delete it, to limit or object to how we use it, and to move it elsewhere. Email hello@hailme.at and we'll reply within 30 days. You can also complain to your local data protection authority.

8. Security

Everything travels over encrypted connections. Sign-in codes and access tokens are stored only in scrambled (hashed) form, ID documents are kept in private storage that only our review team can open through short-lived links, and each person can only reach their own information. No system is perfectly secure, so if you think your account has been misused, email us straight away.

9. Children

HailMe isn't for anyone under 16. If you believe a child is using HailMe, email us and we'll remove their account.

10. Changes

If we change this policy, we'll update the date at the top. If the changes are significant, we'll let you know by email or in HailMe before they take effect.
